Your payroll software should keep track of the number of days each year an employee has been on leave as well as the total leave allowance remaining. Having this up-to-date can be made easier by allowing your employees to apply for leave directly in Xero. By allowing your employees to have access to “My Payroll” they will be able to download payslips, payment summaries, apply for leave and review their leave balances. My Payroll access will enable your employees to apply for leave within the system rather than using paper applications which will in turn keep your records up to date and save you lots of time when it comes to preparing a payrun for the period.
Xero uses email to invite an employee to My Payroll. Make sure your employee has an email address saved in Xero by checking their employee details. Otherwise, you can’t invite them to My Payroll. My Payroll doesn’t give them access to any of the Xero functions so they will not be able to view or modify anything within the organisation’s file other than giving them the ability to view their own employee profile.

Select the check box next to the employee that you want to invite to My Payroll.
Click Invite to My Payroll
They can make a leave application by following these steps:
Go to Payroll
Click Employee from the drop down menu
Click on the relevant employee
Click on the Leave tab
Click Add Leave Application
Fill in the appropriate information
Once they have applied for leave the Payroll administrator will have to approve or reject their leave and this will be reported on the relevant payrun. If this process is not done, the leave taken does not get deducted from the leave balance and may require you to make manual adjustments on their payslips
